Adding Content Items (Assets) to Boxes

Within each standard and tabbed box, you can add one or more content items (aka assets). These are the actual content that your patrons will read and interact with, including text, images, links, etc. There are several types of content items that are also stored in your LibGuides Assets library, allowing you and your colleagues to reuse them in other guides without having to recreate them. Content items in your Assets library can be reused even if their original guide, page, or box is deleted.

Adding content items

Here's a list of the most commonly used content types:

  • Rich Text/HTML Content Item

    • These allow you to add formatted text, images, tables, lists, and other rich text content to your guide. Using the built-in Rich Text Editor, you can apply styles and formatting just like with a word processor. Or, you can switch to the Source mode to edit the underlying HTML code directly.
  • Database from the A-Z Database List

    • Although only Admin users can create new databases, all users can reuse them in their guides. This allows you to easily add links to related electronic resources. Plus, if those databases are ever changed (i.e. a new URL or proxy string), the changes will be reflected everywhere the database is reused.
  • Link Asset

    • You can easily create a list of links by adding Link assets to your guide. Once a new Link asset is created, it will be available in your Assets library so you can reuse it in the future.
  • Media/Widget Asset

    • The best way to embed HTML code (for things like YouTube videos or chat widgets) into a guide is with a Media/Widget asset. Once a new Media/Widget asset is created, it will be available in your Assets library so you can reuse it in the future.
  • Book from the Catalog Asset

    • Effortlessly create book lists on your guides. If you provide an ISBN, LibGuides will fetch the book's bibliographic info from Bowker and cover art from Syndetics. Once a new Book asset is created, it will be available in your Assets library so you can reuse it in the future.
  • Document/File asset

    • Upload and create links to files in formats such as Word, Excel, PowerPoint, or PDF. Once a new Document/File asset is created, it will be available in your Assets library so you can reuse it in the future.

Adding a Rich Text/HTML content item to a guide

  1. While editing your guide, click on the Add / Reorder button at the bottom of the box where you want add this.
  2. Select Rich Text/HTML from the dropdown menu.
  3. In the Add Rich Text/HTML window, use the built-in text editor to add and format your text.
    1. Want to add or edit the underlying HTML code? Click on the Source button to switch views.
    2. As you're working, you can click the Save button at any time to save your progress.
  4. If you're adding this to a box with other content items, use the Position dropdown to choose where your new content item should go. (Don't worry: you can always reorder these later.)
  5. When finished, click the Save & Close button.

Add a new Media/Widget asset to a guide

To create a brand new Media/Widget asset from scratch and add it to your guide:

  1. While editing your guide, click on the Add / Reorder button at the bottom of the box where you want add this.
  2. Select Media/Widget from the dropdown menu.
  3. Give your asset a name in the Name field. This is how the asset will be identified in your assets library.
  4. In the Embed Code field, enter or paste the HTML code you want to embed. Unless you're creating your own code from scratch, this will often be provided for you from the content provider or vendor.
  5. Use the Position option to choose where the new asset should be inserted in the box. (Don't worry: you can always reorder it later.)
  6. Click the Save button.

Add a new document/file to a guide

To create a brand new document from scratch and add it to your guide:

  1. While editing your guide, click on the Add / Reorder button at the bottom of the box where you want add this.
  2. Select Document / File from the dropdown menu.
  3. Give your document a name in the Document Title field.
    1. This is what display's as the text of the document's link (i.e. what users will click on).
    2. It's also how the document will be identified in your assets library and statistics.
  4. If you would like to add a description of the document, enter it in the Description field.
  5. To customize how the description appears on the page, choose your preference from the Description Display options.
    1. Display beneath item title: this will display the full text of the description on the page, right below the title.
    2. Hover over item title: this will display the description in a popover when a user hovers over the title.
    3. Hover over "info" icon: an info (i) icon will appear next to the title. When a user hovers over it, a popover will appear displaying the description.
    4. Hide description: if you would like to hide the description, select this option. This will not hide the More Info field.
  6. To upload your file to the document asset, click the Select File button and select the file from your computer.
    1. There is a maximum size of 10 MB per file (20 MB if you have CMS).
    2. Each LibGuides system has a total allotment of 5 GB for all uploaded files.
    3. You can upload virtually all file types, except for Flash or streaming media files.
  7. If you have LibGuides CMS, you can optionally require a password in order to download the file. Simply enter the password you want to use in the Password field.
    1. Note: this will not prevent admin users from editing the asset and removing the password or viewing the document, so you may not want to use this for extremely sensitive or confidential documents.
  8. Use the Position option to choose where the new asset should be inserted in the box. (Don't worry: you can always reorder it later.)
  9. Optionally, you can assign resource icons to your document. Click on the Assign Resource Icons panel to select the icons to use.
  10. Optionally, you can display a thumbnail image (such as a logo) next to your document. Click on the Assign Thumbnail Image, then click the Browse button to upload or select an image from your Image Manager library.
    1. Note: document assets already display a small file type icon next to the title (e.g. a PDF icon will display next to a document asset with an attached PDF file).
  11. Click the Save button.
